Instructor Travel Guidelines

Below are Travel Guidelines used by HQ that may be helpful when arranging for instructors:

In advance of the course, all instructors must receive very detailed and clear communication on how to arrive at their destination, particularly when an American instructor is traveling outside of the U.S. or Canada.

The course host/sponsor (Section) must be very clear in its communications with instructors to avoid misunderstandings about the price of airfares, reimbursements, expense reports, and rental cars.

It is critical that all agreements between Sections and instructors be made prior to travel commencing. (Click here for sample work order used by HQ)

Air Travel Headquarters' guidelines are to pay for coach class airfares. Sections may upgrade instructors. When teaching for Headquarters, instructors are asked to use NACE's airline ticketing agent; airfares must be as low as possible. Sections may use NACE's ticketing agent or use their own, or ask the instructor to purchase his/her own ticket (to be reimbursed by the Section). Please be considerate of instructor's travel schedule and rest time when booking economical international fares (i.e., try to avoid long layovers at airports).
As of 9/1/08 Airfare will be reimbursed at the lowest available round trip economy class direct flight rate. For international flights that are eight hours continuous flying or trips with twelve hours total flying time without overnight layover ("extended flights"), business class airfare tickets may be purchased and reimbursed for up to $6,000 per round trip for travelers with 3 or more extended flights in a rolling 12-month period.
Meals Headquarters' guidelines are to allow $50 per day on meals per instructor in the U.S./Canada, and $75 elsewhere. Sections may negotiate this amount with instructors.
Hotels Instructors must receive individual sleeping rooms. The Section makes all hotel arrangements for instructors and informs them of the arrangements in advance.
Incidental Expenses Instructors incur incidental expenses (taxi, train, mileage, parking, toll fees, etc.) that also are paid by the Section. Mileage is reimbursed at the official U.S. IRS rate.
Foreign Travel The Section must assist the instructors in obtaining any necessary visas, work permits, or other official travel documents.
